A project is not finished merely because the final file was sent. The client needs to know which version is approved, how to use it and what support remains. A structured handover reduces repeated questions and protects both sides from ambiguous expectations.

Assemble the delivery package

Use clear filenames and one folder containing approved deliverables, required source files and a short readme. Identify fonts, software versions or external assets needed to reproduce the work. Transfer only assets included in the agreement and explain any licence restrictions that affect reuse.

Demonstrate the intended use

Show the client one normal task with the delivered material. For a spreadsheet, demonstrate entering data, checking the result and recovering from a common input mistake. For an edited video, distinguish the export from the editable project and list dependencies. A concise walkthrough is often more useful than dozens of unexplained files.

Record acceptance and remaining issues

Compare the delivery with the agreed acceptance criteria. List any known limitation and its practical effect. Ask the named approver to confirm acceptance through the agreed channel. Separate a correction covered by the brief from an additional request so neither becomes an unexpected dispute.

Close access and define support

Confirm who owns the accounts and where credentials are managed. Remove temporary collaborator access after the transfer is verified. State the support window, response expectations and what future changes require a new quote. Avoid promising indefinite maintenance in a casual final message.

Example of a final note

A useful final note identifies the approved version, links the delivery folder, summarizes the included files, names any open item and gives the support end date. Keep it factual. Archive the agreement and approval in your own records according to the retention arrangement. The objective is a client who can use the result independently, not merely a completed upload.
